Yes – Itemtopia is a free app that does not charge our users a fee!

Yes, we do! The reason why we have users create an account by signing up is so that your data can be stored safely in the cloud. This allows you to sign in on another device, and still have all your data you have entered.

Yes, it is. Itemtopia does not and never will share data with any other third-party. We do use the data you add to compare items to our recall database and alert you with a notification if we find a match, and to recommend suggested products. Any analysis by Itemtopia is done to provide and to improve upon our services to you and uses no user identifiable profile information.

Yes, you can. All the data is on your device, and new information can be added or deleted without being in coverage. Once Wi-Fi or wireless coverage is reestablished, Itemtopia will sync via 256SSL data encryption to the Cloud Server. This allows any other device in Itemtopia to see what was added or removed in near real-time or once the other device(s) opens Itemtopia.

The easiest way to do this is to share your login information with your family member. This will allow both people to view all your items and add any necessary expenses and information.

Occasionally this happens to some users, and it is often due to a problem with your device data storage. Thankfully this is an easy fix – simply delete the app from your phone – and download it again from the App Store. 

All your data will not be lost! Once you download the app, simply sign in with your username and password.

Beginner App Questions

Spaces are a way to organize your items and services by location (ex: house, storage unit etc.). Your space can also have unlimited spaces inside it, which can be your garage or rooms in your home.

Think of My Life as a View All page on your computer, where you can see everything you own regardless of how it is organized within Spaces. The search bar at the top of the screen can be used to quickly find something, and if you would like to filter your items by location then you can select one of the Spaces at the top of the screen to only see the items attached to the Space.

Spaces are much more powerful than a folder – which is essentially just a container to hold a group of items. When you enter a Space, you will see 6 buttons (like the ones you see on Items) entitled Notes & Photos, Reminders, Documents, Warranties, Receipts, and Linked Services. Under these buttons you can view all the relevant information for anything inside the space (ex: the appliances in your house) as well as anything attached directly to the space. Attaching directly to the space can be useful when the receipt or note is not for something you need to create a whole separate item for, but still need the relevant information. This can be paint colours for your home, or a receipt for flooring for your basement. 

From the My Life page, or inside a Space, click the blue plus button at the bottom of the screen where you will see “Item” and “Folder”. If you tap on Folder simply add a name and click Create, you will then be able to add new Items to it, or move existing Items into your new Folder.


To add an Item, once you tap on the button, you will be able to select a category. If there is not a standard category that matches your item, you can create a new one. You will then be prompted to create a purchase receipt, and then can create your Item.

From the My Life page, or the main page for one of your Spaces, click the blue plus button at the bottom of the screen. You will then see a button “Quick Add”, which once tapped on brings you to a screen where you can add multiple Items at the same time. You can attach photos of your Item, select a category, as well as attach a warranty or receipt.

From your My Life page you will see 3 tabs at the top titled “Items” “Services” and “Family”. Once you tap on Family you will see that there is automatically a person created for you. Here you can track important information about yourself, add notes, and attach expenses, services, and items.


By clicking the blue plus button from the Family tab, you will see the option to add either a Person or a Pet. Once you click an option you can fill out details, add photos, and then click the Save button.

From your My Life page you will see 3 tabs at the top titled “Items” “Services” and “Family”. Once you tap on Services, you will see a blue plus button, which once tapped on will bring you to a page to add a new Service. Here you can add details about your service, and after click the Save button.

Other Questions About Itemtopia

Since every user is different, we created Itemtopia with the intention for it to be as flexible as possible for our users, so everybody can use it to organize their lives. This can be done by adding unlimited Spaces and Folders to help organize everything you own. You can also create Custom Categories, Expense Types, and Reports.

Yes you can! To access Reports click the hamburger icon on the top left of your My Life screen. Once here, tap on the icon that says “Your Data – Reports”. Click on the Report type that you would like to run. Depending on the option you click you will see options for the data used to run the Report.

Once the Report has been run you will see a Share button in the top right of the screen, just to the left of the printer button.

Here you will be able to export your Report as either a CSV file which can be opened in Excel, or a PDF.

To move existing Items to a Folder or Space, enter that Folder/Space and click the blue plus button and tap “Add Item”. Then tap the button “Link Existing Items”. You will then see a listing of all of your items, where you can then multi-select all the items you want to add. Following this click the Link button in the bottom right hand corner. 

To move a Folder or Space to a different location, go into that Folder/Space and click the three vertical dots in the right hand corner of your page. You will then see the option “Move Folder to” or “Move Space to”.

For a Folder you will be able to move it to a different space, or move it to a Family Member as well. 

For a Space you will be able to make it a top level Space (which will be shown on the My Life page), or move it to another Space or Sub-Space you already have created.
